OVC Portal terms and conditions

These terms explain how parents, guardians, adult students, and administrators may use the Orah Vocal Coaching portal.

1. Who provides the service

The portal is provided by Orah Vocal Coaching, referred to in these terms as OVC, we, us, or our. Questions about these terms can be sent to hello@orahvocalcoaching.com.

The portal supports lesson booking, student records, consent, billing, messaging, attendance, and progress updates for OVC vocal coaching services.

2. Who may use the portal

Parents and guardians may use the portal to manage their own family account and child profiles. Adult students may use the portal to manage their own account, bookings, billing, messages, and progress records.

You must keep your sign-in details secure and tell OVC promptly if you believe your account has been accessed without permission.

3. Parent and guardian responsibility

If you create or manage a child profile, you confirm that you have authority to provide information and make booking, consent, and payment decisions for that child.

You are responsible for keeping child profile details, emergency contacts, medical notes, and consent choices accurate and up to date.

4. Bookings and cancellations

Booking availability is shown in the portal. A booking is not confirmed until any required payment or billing setup has been completed.

The portal applies a 48-hour cancellation rule. Cancellations inside 48 hours of a session are not available through the portal and must be discussed directly with OVC.

5. Payments and billing

OVC uses Stripe to process payments, subscriptions, invoices, and the customer billing portal. You must provide accurate billing information and keep your payment method up to date.

Failed, overdue, refunded, or cancelled payment states may be shown in the portal using plain-language labels. Refunds, if any, remain subject to OVC review and the applicable payment provider records.

6. Messaging and acceptable use

Portal messaging is for lesson, safeguarding, billing, and operational communication with OVC. Do not use it to send abusive, unlawful, misleading, or irrelevant content.

OVC may restrict portal access if an account is misused, if access creates a safeguarding risk, or if access would compromise the security of another person's data.

7. Safeguarding and records

OVC may keep safeguarding, attendance, progress, consent, and audit records where needed to run lessons safely, protect students, and respond to legitimate operational or legal requests.

Parent-facing progress summaries are separate from private teaching notes. Private notes are visible only to authorised OVC administrators.

8. Service changes and availability

OVC may update portal features, policies, availability, and pricing from time to time. Where a change materially affects your account or consent choices, OVC will take reasonable steps to notify you.

The portal may occasionally be unavailable for maintenance, provider outages, security work, or other operational reasons.

9. Liability

Nothing in these terms limits liability that cannot legally be limited, including liability for death or personal injury caused by negligence, fraud, or statutory rights that cannot be excluded.

Subject to that, the portal is provided to support OVC services and should not be treated as a replacement for direct communication in urgent safeguarding, health, or emergency situations.
